Preparing the template…

Riverside Health, a fictional group of 14 outpatient clinics, kicks off Atlas: one online booking system for every clinic, live in twelve months. All names and figures are fictional.

What each slide does

  1. 01CoverThe project's name and promise as the title, the sponsor, lead and date under it, and a mission badge with its code name.
  2. 02TodayToday's agenda: time, a dot, the part and its length, a portrait place for who leads it, and their name.
  3. 03WhyWhy the project exists: a photo place of the problem as people live it, beside four numbers that measure it.
  4. 04SuccessWhat success looks like as a postcard from a year from now: a photo place on the front, and on the back a short note dated then, with a stamp.
  5. 05GoalsThe goals as three objective cards, each with two or three key results that will be measured, a progress bar starting at zero.
  6. 06ScopeScope in three columns: what is in (green), what is out (red), and what is for later (dashed).
  7. 07MeasuresHow success is measured: one card per measure with today's baseline struck through, an arrow, and the target large, with the date.
  8. 08PlanThe plan as phases on a road, each sized by its length with dates and what happens; under it, the gates where the steering group decides.
  9. 09TeamThe core team: a portrait place each, name, role and the workstream they lead as a chip; the workstream colour along the top of each card.
  10. 10WorkstreamsWorkstreams as lanes: the lane name and lead on the left, then what it delivers in each phase.
  11. 11Who decidesWho decides what, as a table: each kind of decision, and for each body a filled dot if it decides and an open ring if it is consulted.
  12. 12How we workHow the team works as four rituals: an icon, how often, the name, what it is for, and how long it takes.
  13. 13CharterThe team's working agreements as a charter: numbered agreements in two columns, and lines for the team to sign.
  14. 14StakeholdersStakeholders on a grid of influence against interest, names as tags in each quarter, the ones to manage closely tinted; beside it, how to treat each quarter.
  15. 15CommunicationWho hears what, when: a table of audience, message, channel with an icon, how often and who sends it.
  16. 16DependenciesWhat the project depends on and what depends on it: boxes on the left feed the project in the middle, which feeds the boxes on the right; at-risk ones outlined in red.
  17. 17RAIDRisks, assumptions, issues and dependencies on one board: four tiles with a letter, two or three items each, and an owner.
  18. 18BudgetThe budget by phase as a native stacked bar chart, with the total and contingency beside it.
  19. 19First 30 daysThe first thirty days as a calendar of working days: each day with its date and what happens, events tinted and milestones in the accent.
  20. 20Where things liveWhere the team's work lives: six tiles with an icon, the tool's job and where to find it.
  21. 21Hopes and fearsHopes and fears from the room as sticky notes in two columns, green for hopes and amber for fears.
  22. 22Free layoutA free slide: only the header, title and footer, the body empty. Design it for content no other layout fits.
  23. 23Next stepsWhat everyone commits to today, then the dated steps until the first steering group.
  24. 24ContactsWho to talk to: the project lead and sponsor with role, email and phone.

What makes it work

  • Start with why the project exists, in the words and numbers of the people it helps.
  • Describe success as a day a year from now, then as goals with measurable results.
  • Say what is out of scope as clearly as what is in.
  • Name who decides what before the first disagreement, not after.
  • Agree how the team works, in writing, at the kickoff.
  • End with the first thirty days, so Monday morning is obvious.
